Who is responsible for your information
SwiftCentral Logistics Ltd, company number 17449915, is the controller of personal information used for our enquiries, customer and carrier relationships, bookings, invoicing and feedback. Contact quotes@swiftcentrallogistics.com or 0333 050 8866 about your information.
What we collect
We collect names, business contact details, company and billing details, collection and delivery addresses, shipment information, booking references, correspondence, invoices, payment records, delivery evidence and feedback. Information may come from you, your employer, a delivery contact or a transport partner. Our hosting services also process technical connection information, and our forms use a hashed network identifier to help prevent abuse.
Please only share information needed for the delivery and tell the relevant collection or delivery contacts that you have supplied their details. Do not put card details, identity documents or sensitive personal information into our public enquiry form.
Why we use it and our lawful bases
- Enquiries and delivery arrangements: to respond, quote and provide the service. We rely on steps towards or performance of a contract where the individual is a party, and legitimate interests in managing business enquiries and contracts for company contacts.
- Accounts and records: to invoice, manage payments, meet accounting and tax obligations, and handle complaints or claims. Our bases are legal obligations and legitimate interests in running and protecting the business.
- Security: to prevent spam, fraud and misuse, relying on legitimate interests in a secure service.
- Business communications: to maintain relevant business relationships, subject to applicable marketing rules and your right to object. A quote request does not automatically subscribe you to a marketing list.
- Feedback: to improve our service and respond to concerns, relying on legitimate interests. We ask for separate permission before publishing an identifiable testimonial.
Who receives it
We share relevant load and contact details with prospective or appointed transport partners to obtain prices and fulfil deliveries. We use website hosting and database services, our private CRM and Microsoft 365 for business records and correspondence. Professional advisers, insurers and authorities may receive information where necessary and lawful. We do not sell contact information.
Some service providers may process information outside the UK. Where international-transfer rules apply, we must use an appropriate lawful safeguard, such as an adequacy arrangement or approved contractual protections. Contact us for information about the providers and safeguards relevant to your data.
How long we keep it
Our retention approach is to review unsuccessful enquiries after 24 months and remove information no longer needed. Booking, invoice and related accounting records are normally retained for six years after the relevant financial year, or longer where a legal requirement or unresolved claim requires it. We review carrier and account contact records while the relationship continues and remove unnecessary information afterwards. We review unpublished feedback after 24 months; published testimonials are reviewed periodically and can be withdrawn.
Some records cannot be deleted immediately because of accounting obligations or legal claims. Where a request cannot be fulfilled in full, we explain why.
Your rights
Depending on the circumstances, you can request access, correction, erasure, restriction or portability of your personal information, object to processing based on legitimate interests, and withdraw consent where we rely on it. You can object to direct marketing at any time. Email quotes@swiftcentrallogistics.com; we may ask for enough information to verify your identity and locate the record. We normally respond within one month, subject to lawful extensions.
You can complain to the Information Commissioner's Office. We would welcome the chance to address your concern first. We do not use solely automated decisions that produce legal or similarly significant effects about you.
